The Procare integration connects IntelliKid Systems with your Procare account, whether you use Procare Desktop or Procare Online, so that family and enrollment data flows between the two systems without double entry. Here's what you need to know and where to go depending on where you are in the process.
Which Version of Procare Do You Use?
IKS supports two versions of Procare. The setup process is different for each, so it's important to know which one you're on before getting started.
Procare Online: The cloud-based version of Procare, accessed through a web browser.
Procare Desktop: The locally installed version of Procare that runs on a computer at your center.
If you're not sure which version you have, check whether you log in through a website or open an application installed on your computer. Your Procare account representative can also confirm this for you.
How the Integration Works
Once the integration is set up, data moves between IKS and Procare in two ways:
IKS to Procare (Instant Push): When a child's status in IKS is updated to a trigger status, typically Pre-Registered or Enrolled, IKS immediately sends that family's data to Procare. This is a one-time push of the initial record and eliminates the need for manual entry in Procare.
Procare to IKS (Nightly Sync): Once per day at the time you configure, Procare sends status updates back to IKS. This keeps your IKS records aligned with what's happening in Procare, including classroom assignments, status changes, and more.
Important: The integration is not fully bidirectional in real time. Once a family's data has been sent to Procare, ongoing status management should happen in Procare. Changes made in Procare will appear in IKS after the next nightly sync.
