Multiple Schedulers

Setting up Multiple Schedulers

Multiple schedulers are now here to help you manage multiple calendars within your IntelliKid Systems platform!! This way parents can schedule tours, as well as any additional events or meetings they want to attend at your center.

You may choose to use this feature to schedule:

  • Open Houses

  • Parents Night Out

  • Orientations

  • Play dates

  • Whatever you can think of!

Setting up Multiple Scheduler for a selected location

Step 1 - Data Fields set up

First we will need to create a new Data Field for the new scheduler:

  1. Click “Menu > Settings > Data Fields

  2. Click ”Add Data Field

  3. Name the field “Multiple Scheduler” and select Field Type: Schedule

  4. Click “Add”

Step 2 - Location Scheduler set up

Now we will need to set up the scheduler in Location settings:

  1. Click “Menu > Settings > Locations

  2. Find the location you want to add the new scheduler to and click “Details

  3. Scroll down to “Scheduling / Calendar Settings” and expand the “Multi Scheduler” section.

  4. Set the scheduler accordingly to your needs. Block unnecessary dates and time.

Step 3 - Webform set up

When the scheduler is set, you will need to create a new webform for your event.

  1. Click “Menu > Websites” (if you do not see the “Websites” section, you need to check your permissions)

  2. Find the website form you want to add the scheduler to and click “Details”

  3. Click “Manage Content” (You will need to create a new website page and add the web form)

  4. In the website editor window Click “Menu > Pages”

  5. Click “+Add” (blue) to Add New Page, add the page Title and click “Save” (e.g. “Event”)
    Note: Your page title will reflect in your URL (e.g.: https://demo.iks.center/event )

  6. Click on the newly created page and click “Edit Content

  7. Rename your form header

  8. Click “Theme” in the left-side of the top menu.

  9. Drag and drop the “LMS form” widget onto the page.
    Note: you will need to refresh the page after you drag the form. Click “F5

  10. After the page reloads, click on the form to open the form’s Options.

  11. Remove all unnecessary fields and add extra fields if needed.

  12. Remove the “Location” field, as your scheduler is already connected to a location.

  13. Remove the “Tour Date” field.

  14. Click “Add New” to add a new field.

  15. Name your field and select field type: “LMS Multiple Scheduler” (Remember? We created this field in Data Fields)

  16. Click on the “Options” icon next to the “LMS Multiple Scheduler” field and select the location. Select the one that you created in Step 2 and click save.

  17. At the top of “Forms options” fields, click “Options” and set:
    - Redirect URL after submit - where should the lead be redirected after submitting the form.
    - Rename the “Submit’ button (if necessary)
    - Add Alias - this Alias will be necessary when setting up the Workflow for this form.

  18. After all the data was added, click “Confirm” and “Publish” the page.

  19. Close the “Website editor”.

Step 4 - Workflow set up

You need to set up a workflow that would take the lead on a certain patch.

  1. Click “Menu > LMS”

  2. Scroll down to section “Workflows”.

  3. Select the Group you want to add the new workflow to.

  4. Click “+Add Workflow”

  5. Name the workflow and select “Multiple times, when lead action is added” in the “When to process workflow” section. Save the workflow.

  6. Find the workflow you have just created and expand it

  7. In the Criteria section click “+Add Criteria” and select “Lead Submitted a Form

  8. Type in the same “Alias” you created in Step 3 when setting up the webform.

  9. Add Actions (What should happen when the form was submitted: Change lead’s status to; Send email and etc.)

  10. Set the time when do you want the workflow to trigger (E.g. Immediately).

  11. Save” the workflow.

Step 5 - Test your webform

Open your website URL and submit the webform. You should only see the date and time that you’ve set in Step 2.

After submitting, your lead should appear in the system and Workflows should trigger.
